We are a not for profit road running organisation based in Stevenage, Hertfordshire. We are affiliated to the Association of Running Clubs (ARC). In this notice we refer to these to our organisation as “we”, “us” or “our”.
We are responsible for looking after your personal information.

You have the right to make a complaint or raise any concerns you have that relate to our approach to your personal information to the Information Commissioner’s Office (ICO – the ICO is the UK regulatory authority for data protection issues (www.ico.org.uk)). There may be occasions where we collect a limited amount of health information (for example, if you take part in any event which requires physical activity, we may ask for certain medical information to ensure you are able to safety participate in the event). Directly from you – when you applied for and/or renewed your membership with the organisation.

Association of Road Running Clubs (ARC) This is the organisation we affiliate to. There may be times where we have to share information with them in order to comply for insurance purposes (for example, in the case of a running accident).
We require all third parties to respect the security of your personal information and to treat it in accordance with the law.
7. Data security
We have put in place appropriate security measures to prevent your personal information from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal information to those members of the club management team who have a need to know. They will only process your personal information on our instructions and they are subject to a duty of confidentiality.
We have put in place procedures to deal with any suspected personal information breach and will notify you and any applicable regulator of a breach where we are legally required to do so.
8. Data retention - How long will we retain your personal information?
We will only retain your personal information for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.
To determine the appropriate retention period for personal information, we consider the amount, nature, and sensitivity of the personal information, the potential risk of harm from unauthorised use or disclosure of your personal information, the purposes for which we process your personal information and whether we can achieve those purposes through other means, and the applicable legal requirements.
At the end of an agreed retention period your information will be securely and confidentially destroyed.

NO FEE USUALLY REQUIRED

WHAT WE MAY NEED FROM YOU

TIME LIMIT TO RESPOND
We try to respond to all legitimate requests within 30 days. Occasionally it may take us longer than 30 days if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.
